Executive Assistant

We are looking for an Executive Administrative Assistant who is excited by a fast-paced, ever-changing environment. You will be involved in many aspects of the agency.

 

The Executive Administrative Assistant is proactive and organized and has no trouble balancing competing demands. Their responsibilities include preparing for meetings, taking inventory, communicating between executives and external parties, filing and organizing, arranging travel, supporting other business functions.

 

It is imperative that you possess strong interpersonal skills as you will interact with many individuals across disciplines within the agency and outside. Your flexibility will be an asset working in our creative agency with the village culture.

Key Areas of responsibility:

  • Manage calendars and appointments
  • Arrange travel plans and compile necessary travel documents
  • Coordinate meetings by making facility and catering arrangements
  • Prepare expense reports and deliver to finance
  • Assist in the development of Keynote/Power Point presentations
  • Cover reception desk shift when scheduled
  • Screen incoming calls and correspondence, respond proactively
  • Research and prepare special projects
  • Support other business functions as needed
  • Maintain updated inventory of supplies for chairman

What You Need:

  • 7+ years of previous experience is preferred
  • Proficiency in Microsoft Office
  • Strong written and oral communication skills
  • Detail-oriented
  • Technological competence (computers, printers, etc.)
  • Ability to function in a fast-paced, ever changing environment
